How Much Does AI Automation Cost for a Small Business? Real Ranges, No Games

Almost nobody in this industry publishes prices, which lets everyone imagine either "basically free" or "enterprise six figures." Both are wrong for small business. Here are the honest ranges and, more usefully, how to think about them.

The three cost tiers

Tier 1: Off-the-shelf tools, DIY. Roughly $20 to $300 a month in subscriptions. A chatbot widget, a booking tool, an email assistant, self-configured. Cheap in cash, expensive in your evenings, and the tools don't talk to each other. Right when your need is simple and singular (when DIY makes sense).

Tier 2: Done-for-you build on existing platforms. Typically a one-time setup in the low-to-mid four figures, plus a few hundred a month for software, hosting, and upkeep. This is most of what agencies like us build for small businesses: a voice agent grounded in your business, a follow-up system wired to your CRM, tested and maintained. You're paying for configuration, integration, and accountability, not invention.

Tier 3: Custom development. Five figures and up, for businesses whose process genuinely doesn't fit existing platforms. Most small businesses never need this tier, and a decent consultant will tell you so rather than sell it to you.

The costs nobody quotes

Budget for these regardless of tier: usage charges that scale with volume (per-minute voice costs, message costs, which is why "unlimited" claims deserve suspicion); your own team's testing time in the first weeks; and maintenance, because your prices, staff, and policies change and the assistant must change with them. A system with no maintenance plan is a system that's slowly going stale. When comparing quotes, always ask for the all-in monthly figure at your expected volume.

How to judge any price: against the leak, not against zero

The wrong comparison is "this costs $400 a month versus $0 now." Your busywork already has a price: staff hours on repetitive tasks, missed calls becoming missed jobs, leads dying of slow follow-up, no-shows. Put rough numbers on that leak first (our posts include the worksheets). Then the decision is simply whether the quote is meaningfully smaller than the leak. For a business missing a few thousand a month in bookings, a mid-hundreds monthly system isn't an expense line, it's arbitrage. For a business without that leak, the same system is overpriced. Red flags in quotes

Pricing that only makes sense with a long lock-in contract. Refusal to name usage costs. "Everything included" with no scope list. And any quote delivered before anyone asked how your business actually works: a price that didn't require discovery is a price for a template.
